Components

This privacy notice explains who we are, why we use your personal data, our lawful bases for processing, who we share your personal data with, relevant retention periods and how you can exercise your privacy rights. Please do read this notice to understand our practices and if you have any questions contact us using the details provided.

Who we are

Throughout this Statement, “University”, “we”, “our” and “us” refers to the Manchester Metropolitan University, an exempt charity under Schedule 2 to the Charities Act 1993 (amended by the Charities Act 2011). This Statement provides information that is in addition to information contained in the University’s Student Privacy Notice.

The personal data we process

In our application forms and online registration system, you will be asked to submit basic information about yourself, your work history, qualifications and right to work in the United Kingdom. The University will process your personal data in accordance with the University Data Protection Policy.

The purposes of the processing and lawful basis

The University will use this information to:

  • Purpose - assess your application and determine your suitability for an advertised role, and communicate an outcome to you. If you are selected for a role, the University will use your information to process any relevant work contract and to create your staff record.
  • Lawful basis - article 6(1)(b) of the General Data Protection Regulation (GDPR) - we process your personal data with a view to entering into a work contract with you. 
  • Purpose – share your information with hiring managers for them to assess your suitability for a role.
  • Lawful basis - article 6(1)(f) of the GDPR – we process your personal data as it is necessary for our legitimate interests, in ways which you would reasonably expect and have a minimal privacy impact.
  • Purpose - Monitor student engagement with career services in order to provide a better service to students overall.
  • Lawful basis - article 6(1)(f) of the GDPR – we process your personal data as it is necessary for our legitimate interests, in ways which you would reasonably expect and have a minimal privacy impact. The monitoring does not support measures or decision about particular individuals.
  • Purpose - Investigate any complaint or matter you raise, we will review the information you have provided in order to best respond to you and where required, we may share your information with our insurers and external legal advisors as required.
  • Lawful basis - article 6(1)(f) of the GDPR – we process your personal data as it is necessary in order to protect our legitimate interests, in ways which you would reasonably expect and have a minimal privacy impact.
  • Purpose - To send information to you, where you have requested or consented that we communicate with you, in relation to other relevant job applications for example.
  • Lawful basis – article 6(1)(a) of the GDPR you have given us your consent to You withdraw your consent to receiving any or all of our job communications using unsubscribe links at the bottom of our communications or emailing

Recipients

The University uses the services of Eploy, the supplier and host of the Jobs4Students application system. Eploy provide these support services to the University as a processor under appropriate contractual arrangements. Your personal data will remain within the European Union.

We will make reference disclosures of factual nature, i.e. role and dates worked, to potential employers and other educational institutions requesting a references from us. Your approval for disclosure is implied by providing the University’s details as a referee.

Retention

The University will retain the personal data for no longer than is necessary. In particular, we will retain your personal data as follows:

  • Basic profile, if no applications are made: 4 years after registration on the e-portal.
  • Unsuccessful applications, no other Jobs4Students work: 6 years from application date.
  • Unsuccessful applications, other Jobs4Students work: 6 years from termination of Jobs4Students contract.
  • Successful applications: 6 years after termination of Jobs4Students contract.

Your Jobs4Students profile – when you register on the Jobs4Students website you will be asked to give consent for your personal data to be kept. If you are unsuccessful, this consent will be active for 48 months, however you can request anonymization or deletion earlier.

Right to lodge a complaint with the supervisory authority

You have the right to lodge a complaint with the Information Commissioner’s Office (ICO) as the supervisory authority in respect of the processing of your personal data.
