Closing accounts for leavers

Important information about IT accounts for those leaving or graduating University.

To make sure you don't lose important files when leaving Manchester Met, we've put together some useful guidelines for you to read well in advance of your last day with us.

Colleagues leaving Manchester Met

When you leave Manchester Metropolitan University, your network and email accounts will be closed immediately, and deleted three months later. This ensures the most efficient and secure use of our resources.

Network and email accounts will be closed immediately following the end of your contract. Please discuss with your manager suitable wording for an out-of-office message.

Although you will not be able to access your email account after your contract end date, any out-of-office messages will remain active for a further three months.

In addition, your licence to use Office 365 will expire once you have left the University. If you would like to use the Office suite of applications once you have left University, you may purchase the package at a discounted rate via OnTheHub.

Please make sure to do this while you are employed by Manchester Met.

Not leaving?

Got an email in error saying you're leaving? Such an email will have been triggered automatically by data about you held by HR.

Should this happen, contact HR.

What to do when a member of your team leaves Manchester Met

Once you have confirmed a leaving date with your direct report, please contact HR and the team will make the necessary arrangements as part of their leaver's checklist.

Students leaving Manchester Met

When you leave Manchester Metropolitan University, your network and email accounts will be closed and eventually deleted.

This ensures the most efficient and secure use of our resources.

  • Network and Moodle access will expire 4 months after your course ends. This includes access to library e-resources, MMU PCs and your H drive.
  • Your University email account and OneDrive will be accessible until 9 months after your course ends - via office365.mmu.ac.uk
  • If you have downloaded any of the free Office ProPlus applications then these will also expire 4 months after your course ends, but your email and OneDrive accounts will remain active for a further 5 months

Therefore please make sure you have saved to your own storage as soon as possible after your course ends, any important information.

What you need to do

  • You'll receive an email 7 days before your network account closes to remind you to log in and save any files from your home area
  • You'll need to start moving anything you need to keep from H: drive your  to a secure location outside of the University network. This may be particularly important if you need to save files for further studies or employment opportunities

How to access Office 365

MyMMU

To make sure you have everything you need from your time at University, you can access your MyMMU account and apps for 4 months beyond your course end date.

Log in to MyMMU

Email

You can access your University email account for 9 months beyond your course end date.

Once you have left University, access your Manchester Met email account via office365.mmu.ac.uk.

Got money left on your printing account at the end of your course?

If you've finished your studies with more than £15 on your printing account, you can contact the cashiers@mmu.ac.uk for a refund, as per the University's Refunds Policy

You may also be entitled to a refund if:

  • You've accidentally credited too much to your account
  • Something outside of your control has damaged your printing.

Students suspending their studies

If you suspend your studies, you won't retain all of your network access. You'll be able to regain access once you re-enrol.

This timeline explains what happens when you suspend your studies:

  • Network and Moodle access will expire 30 days after the suspension date. This includes access to library e-resources, MMU PCs and your H drive.
  • Your University email account and OneDrive will be accessible until 6 months after your suspension date - via office365.mmu.ac.uk
  • If you re-enrol within nine months of suspending your studies, all of your data, including H drive files and emails, will be retained.
  • If you have downloaded any of the free Office ProPlus applications then these will also expire 30 days after your suspension date, but your email and OneDrive accounts will remain active for a further five months

What you need to do

  • You'll receive an email 7 days before your network access expires. After this, you won't be able to access your H drive or Moodle. If you re-enrol within nine months of your suspension date, your data will still be waiting for you.
  • If you will need access to any of your files in the meantime, we suggest that you save them to a secure location outside of the University network.
  • If you're having trouble accessing your files or emails, please contact us using one of the methods below.
